* Coordinate HR processes, events, travel, and stakeholder interactions * Provide end-to-end administrative and financial support ## About Our Client ## Our client is an international organisation. ## Job Description ## **Financial and Grant Support** * Assist with budget tracking and monitoring of project expenditures * Support financial reporting activities (including salaries, invoices, and expenses) * Contribute to financial forecasts and budget preparation * Manage procurement processes and expense follow-up **HR and Personnel Administration** * Support recruitment processes and preparation of employment documentation * Coordinate onboarding and offboarding activities for staff and collaborators * Maintain personnel records and track absences, contracts, and administrative lifecycle processes * Provide administrative support for visiting researchers, interns, and temporary staff **Executive and Administrative Support** * Manage calendars, schedule meetings, and coordinate appointments for senior staff * Provide general administrative support to ensure smooth team operations **Events and Travel Coordination** * Organise meetings, workshops, seminars, and conferences * Coordinate travel arrangements, including logistics and reimbursements * Support the organisation of internal events and team activities **Mobility and Visitor Support** * Facilitate the arrival and integration of international staff and visitors * Assist with visa applications, accommodation, and health insurance arrangements * Manage travel logistics for guests and collaborators **Coordination and Liaison** * Act as a point of contact with internal departments and external partners * Coordinate with funding bodies and administrative services as required ## The Successful Applicant ## * Proven experience in an administrative support role, ideally within an international, academic, or research environment * Strong organisational and multitasking skills, with attention to detail * Proactive, service-oriented mindset with the ability to work independently * Fluent in French and English (written and spoken) * Excellent command of Microsoft Office tools (Outlook, Word, Excel, PowerPoint) * Strong interpersonal skills with the ability to work in a multicultural environment ## What's on Offer ## 50% role based in Geneva.
